Job Title: Executive Assistant
 
JOB SUMMARY:

This position performs a variety of moderately difficult to complex secretarial duties; Formats and suggests executive level presentation materials overseeing the entire process.  Process includes editing documents using word processing, creating spreadsheets, preparing power point presentations and using other software applications. Composes routine correspondence; initiates required administrative reports, proof reads documents for content and typographical errors.  Responsibilities include coordinating meetings and executive travel arrangements.  Screens and directs incoming calls and inquiries. Provides information; may interpret departmental procedures. This position requires good judgment, strong critical thinking and analytical skills.  

EDUCATION/EXPERIENCE REQUIREMENTS

  • Two years college, prefer four – year degree

  • Fully PC Literate with MS Office applications, specifically power-point and excel

  • Excellent oral and written skills

  • Must be able to compose, write and edit documents

  • Strong proofreading skills

  • Excellent problem-solving skills

Job Title:  Military Domestic Move Coordinator
 
JOB SUMMARY:

Primarily responsible for providing effective customer service for all internal and external customers. Control, monitor and document the movement of military personal property shipments moving domestically within CONUS and to/from Alaska. Resolve logistical problems inhibiting the movement of personal property and expedite transportation of shipments when needed to meet Required Delivery Dates (RDD). Work closely with the Military Traffic Management Offices (TMO), Steamship Companies, Port Agents and Moving Companies throughout the United States. Arrange pickup and delivery dates with the shipper, agents and trucking companies.  Trace and verify the status of shipments within required time constraints. Research and respond to customer requests for information. Document shipment pick-up headed to ports. Verify and approve invoices for service contracts and ocean freight charges. File vessel information and update files, Traffic system, and DPS. Fax Destination Agents and Ports for status updates. Resolve logistical problems as needed. Update weekly booking report. This position will also assist in training and supervising any clerical support.  Familiarity with the commercial and/or military tariff is a plus.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Communicate effectively and consistently with Shippers, Agents and fellow employees.
  • Document shipment pick-up headed to ports and destination agents.
  • Update Files and Traffic System with detailed status updates and important data.
  • Resolve logistical problems as needed.
  • Call air/ocean Port Agents for status updates. Respond to questions regarding transit, tracking, and contact information.
  • Assist with documentation re-entry process & documentation requests.
